How do I get to RAI Amsterdam?

Accessibility

Amsterdam is serviced by a direct train from Schiphol Airport which departs to Amsterdam RAI Station every 10 minutes. The journey takes about 10-15 minutes. For detailed information on Dutch public transport and time schedules, please see the transport hub https://9292.nl/en.

The OV-chipkaart (public transport card) is the payment method for public transport in the Netherlands. A disposable card can be purchased from the public transport companies or at the ticket vending machines located at the station. You will need to check in and check out with this card when entering a train station or at the card reader on buses and trams.

Conference Venue

The Conference will be held in RAI Amsterdam, just a few minutes’ walk away from Station Amsterdam RAI. Plan how to get to RAI Amsterdam here.

What are the Registration Desk opening hours?

For security purposes, delegates, exhibitors and accompanying persons must wear their name badges at all times. Entrance to the meeting rooms and exhibition area is limited to badge holders only.

Please collect your badge at the Registration Desk upon arrival at RAI Amsterdam:

• Tuesday December 13^th between 18:00-20:00 hrs
• Wednesday December 14^th between 07:30-18:00 hrs
• Thursday December 15^th between 07:30-17:30 hrs
• Friday December 16^th between 07:30-16:00 hrs

If you cannot collect your badge for the Conference on Tuesday, please do so on time on Wednesday morning, between 07:30-08:30 hrs. The program starts at 08:30 hrs.
Note that the waiting time at the Registration Desk may be longer on Wednesday morning. If you have an outstanding amount to pay, the waiting time will be longer as well. We advise you to arrive early.

What about the conference app?

A few days before the Conference you will receive an email with instructions and a direct link to download the congress App. Please check your spam folder if you haven’t received this email by Monday December 12th. We strongly recommend that you download this app and create an account before you travel to the Conference.  
 

How and where can I bring my presentation?

• All presentations will be presented in PowerPoint widescreen (16:9)
• Please go to the speakers service centre in the RAI, room E 105, with your presentation on a USB stick, preferably at least 1 hour before your session starts (in a break, or the day prior to your presentation)
• The technicians will help you with the procedure. In each session room, they will also be able to give you more practical information about the use of microphones and remote control 
• The time specified for your presentation does not include discussion time, since there is a time-slot reserved at the end of the session/symposium, unless otherwise stated in the program
• We kindly request you take note of the allocated time and hope you will adhere to the timeslot as indicated.

Are there any shuttle buses for the congress party?

Amstel Boat House is situated near the RAI, but shuttle service is offered from the RAI to the restaurant and vv. The first buses will depart from the RAI to the Amstel Boat House at 18:30 hrs, the last buses from Amstel Boat House to RAI Amsterdam will depart at 00:15 hrs.

Shuttle service by motor coach every 30 minutes from RAI to Amstel Boat House & every 30 minutes from Amstel Boat House to RAI.

The shuttle service starts at 18:30 from RAI. In between 20:15 and 21:00 hrs there is no shuttle service: the driver has a legal break of 45 minutes.

Do I need a voltage converter?

The Netherlands uses the type F electrical plug. This plug has two round pins, spaced about 2 cm apart, and is the same as those used in many countries in Continental Europe. The electricity network operates at 230 Volts. If the standard voltage in your country is in the range of 100 V – 127 V (as is in the US, Canada and most South American countries), you will need a voltage converter and/or a combined power plug adapter/voltage converter.

Insurance

You are advised to arrange adequate travel, health, and other insurance before you leave your home country. Participation is completely at the participant’s own risk. The organizers will not be liable and will not compensate for any damage incurred to participants and/or accompanying persons either during or as a result of the IOTA 2022 Conference.

Confirmation of registration
After having submitted your registration you will receive an automatically generated e-mail acknowledging submission of your registration. Check your spam box if you do not receive it within a few minutes.
Once the registration office has handled your registration, you will receive a confirmation of registration or an invoice by e-mail.

TERMS AND CONDITIONS

Name change
An additional fee of €20 will be charged for a name change. Name changes must be sent by email to the registration office.

Cancellation
If the event is cancelled by the Meeting organisers for any reason, a full refund will be provided to existing bookings minus a €25 administration charge.

Separately, if a delegate chooses to cancel their booking, the following charges will apply. Cancellations must be sent by email to the registration office. Refunds will not be given to any registrant who does not attend without advance cancellation notice (no show):

• 15% fee for cancellations received on or before 15 October 2022

• 50% fee for cancellation received between 16 October 2022 and 1 December 2022

• No refunds will be given for cancellations received after 1 December 2022

General Data Protection Regulation (GDPR)
The personal information supplied in connection with the registration for the 1^st Triennial Meeting will be held by STN as a record of attendees and parties expressing interest in the 1^st Triennial Meeting IOTA / TD 2022. By registering, the parties concerned are agreeing that the STN may:

• use that personal information to contact them by email, direct mail or telephone, in order to supply information relevant to this 1^st Triennial Meeting and future IOTA / Trauma Dagen / OTA meetings and conferences;

• use that personal information to be included in the congress documentation, such as name badge and list of delegates (name, company, country).

VISAS
Delegates who need a visa should apply directly to the Dutch embassy or consulate in their own country. Please note that the organisers cannot assist with the application. The registration office can issue a Letter of Invitation, provided that you have registered and paid for the Conference. After you have registered and paid, please send a request by email to the registration office on Monday 14 November at the latest, stating your full name, institute details (name, city), email, date of birth, place of birth, passport number and expiration date of the passport. The Letter of Invitation will be emailed to you within 5 working days. Requests for a Letter of Invitation received after 14 November cannot be processed any longer.

Please note that this letter of invitation does not imply any financial responsibility for IOTA / OTA, STN and/or the meeting organisers.

Please make sure to allow ample time for your visa application! In case your visa application is rejected, you can ask for a reimbursement of the registration fee until 14 days before the start of the Meeting. Proof of the rejection needs to be sent together with your request. The paid amount minus administration costs of € 75 will be reimbursed.

Please note: Keynote- and Instructional lecturers are requested to select the topic ‘Keynote-/Instructional lecturer – no review needed’, as mentioned in the online abstract form. All other abstracts should be submitted in one of the above-mentioned categories.

PRESENTATION TYPES
The Congress committee makes the final selection of abstracts to be included in the program.

Please be informed that the congress language is English. Presentations will be 8 minutes in length and need to be given in English. Posters will be presented in a digital format.
There is not a separate submission form for posters. The program committee will determine the most suitable presentation method, either as an oral presentation or as a poster.
IMPORTANT NOTE: Complete author disclosure is required for all submissions.

GUIDELINES FOR THE PREPARATION OF YOUR ABSTRACT

• Abstracts must be written in English.
• The size of the abstract is limited to 300 words (1750 characters, including spaces), excluding references.
• The submission program will automatically calculate the size of your abstract and will not allow submissions that do not fit the size requirements.
• Do NOT mention the authors and affiliations or any reference to the location of origin in the abstract. If any reference is found, the abstract will not be acceptable. You will be asked to fill in these details separately.
• The title should start with a capital, followed by lower case. Maximum length 20 words (max 150 characters), it should clearly define the topic. Do NOT identify your institution in the title. Do NOT put a full stop after the title.
• Abstract contents: Abstracts submitted for presentation are required to use the following four sections:
  • Objectives (includes the background and study purpose)
  • Methods (includes the study design, setting, methods)
  • Results (includes the main findings)
  • Conclusion (primary conclusions based upon study findings that relate directly to the study purpose).
• Abstracts can include a maximum of three figures, tables, diagrams or images.
• Use Calibri font .11, do NOT use symbols or alternative fonts.
• Do NOT type your abstract in bold or italic.
• Do NOT type the abstract text in capital letters. Use upper and lower case.
• Authors are responsible for checking for accuracy at the time of submission. Abstracts will be published as submitted by the corresponding author. Any errors in spelling, grammar or scientific fact in the abstract text will be reproduced as typed by the author.
• Authors may submit a maximum of two abstracts as presenting author but can be mentioned as a co-author of other abstracts.

SUBMISSION CONDITIONS

• Attendance: All accepted abstract presenters must register and pay before the early registration fee deadline of 3 October 2022. Lack of registration will result in removal from the program.
• Commitment to register and attend: If an abstract is accepted, it is expected that an author will register and attend the meeting. In line with the policy; fee, honorarium or expense payment will not be provided for the presenters.
• Authorship: Only authors who meet ICMJE criteria should be listed as authors (www.icmje.org).
• Eligibility: An abstract of original research is eligible for acceptance if it has been presented at another meeting, but not if it has been published, or accepted for publication, by the abstract submission deadline (1 August, 23:59 hrs CET). Submissions must not duplicate work that any of the authors have published elsewhere. Studies involving human subjects (clinical trials, pilot studies, biomechanics studies, retrospective reviews, cohort studies, and surveys) or animals, must have IRB/ethics board approval granted or exemption as determined by the author’s institution.
• Submission Deadline: Only abstracts submitted through the IOTA/TD 2022 website by the 1^st of August (23:59 hrs CET) deadline will be considered for presentation at the Meeting.
• Terms of Use: By accessing and/or using the online submission system you agree (also on behalf of co-authors) to all the terms of the abstract submission guidelines and instructions as mentioned on this webpage. Please note that transfer of copyright applies to all material submitted through this online system.

Should you not want to have your abstract published in the OTAI journal, then please send a request to the IOTA/TD 2022 Congress secretariat at nvt@caos.nl. The Congrress secretariat will ensure your request is routed through to the appropriate person.

All submitted abstracts will go through a peer-review and will be evaluated for completeness, strength of contribution, and relevance by all members of the Peer Review Committee. Abstract submissions will be selected based upon: practical significance, originality, and quality of the work.

NOTIFICATION OF ACCEPTANCE OR REJECTION TO CORRESPONDING AUTHOR
Notification of acceptance or rejection will be sent to the submitting (corresponding) author on or after 12 September 2022. Please note that only the corresponding author will receive mail concerning the abstract and is responsible for informing all co-authors of the status of the abstract. Authors whose abstracts have been accepted will receive instructions for the presentation of their abstract.

VISAS and Letters of Invitation

Delegates who need a visa should apply directly to the Dutch embassy or consulate in their own countries. Please note that the organisers cannot assist with the application.
The registration office can issue a Letter of Invitation, provided that you have registered and paid for the Conference. After you have registered and paid, please send a request by email to the registration office. The Letter of Invitation will be emailed to you within 5 working days. Please note that your visa application is a timely procedure. Therefore, we can process your request for a Letter of Invitation when your request is received in writing through the Secretariat at secretariaat@trauma.nl on December 1st at the latest. Requests for Letters of Invitation received after that date cannot be processed.

Please note that this letter of Invitation does not imply any financial responsibility for IOTA / OTA, NVT / STN and/or the meeting organisers.
 

Please make sure to allow ample time for your visa application! In case your visa application is rejected, you can ask for a reimbursement of the registration fee until 14 days before the start of the Meeting. Proof of the rejection needs to be sent together with your request. The paid amount minus administration costs of € 75 will be reimbursed.

> Accessible & compact
Amsterdam is a national and international gateway. Amsterdam Airport Schiphol is considered one of the best in the world and is just 20 minutes from the city centre. Amsterdam’s compact city centre has an outstanding public transport service and therefore most facilities and sights are within walking distance of each other. The city’s network of canals also offers a unique opportunity to transport your delegates via the water.

> Historic heart
Amsterdam was founded in the Middle Ages near a dam on the River Amstel. The city truly blossomed in the early 17th century, when it became the world’s largest centre for trade and art. The historic heart of the city known as the ‘Grachtengordel’ (canal ring) has remained beautifully intact to this day. The area is by no means an open-air museum, but rather the warm, friendly and vibrant heart of the city.

> Stable economic climate
Though recent publications indicate price increases in the capital and in the Netherlands, the Amsterdam congress and conference market has, in general, remained stable. The relationship between price and quality has passed official international testing with satisfactory results.

> Outstanding culture
The Netherlands capital city has been a centre of creativity and culture for centuries. Works by 17th century Dutch Masters such as Rembrandt and Vermeer grace the walls of Amsterdam’s famous Rijksmuseum. The Van Gogh Museum houses several of the artists’ masterpieces. Other cultural treasures include Anne Frank’s House, the baroque Royal Palace on Dam Square and the Rembrandt House. Amsterdam can even satisfy the cultural pallet of the most experienced visitor.

> Knowledge centre
During the 17th century Amsterdam was a stockpile of trading goods; today knowledge is also being generated. With two highly developed universities and several laboratories, Amsterdam is now firmly on the world map as a centre of knowledge. The city attracts many prominent academics and has become an attractive meeting place for those involved in science and research. Due in part to its central location on the edge of Europe, Amsterdam now offers a new ‘market place’ for the free and efficient exchange of ideas and knowledge.

> Dazzling nightlife
Amsterdam is home to an array of bars, nightclubs and cafés. Authentic 19th century pubs or ‘brown cafés’ can be found all over the city, alongside their contemporary counterparts: designer grand cafés and sleek lounge bars. The most popular bar areas are around the Leidseplein and Rembrandtplein. The hottest new dance music is played in trendy Amsterdam nightclubs by some of the top DJs in the world. There are also jazz cafés, late night bars and a large casino in the city. Best of all, nightlife venues are located less than a few square miles of each other.

> Striking events
Some 30 to 40 festivals take place in Amsterdam each year, many of which have come to be world-renowned. The Holland Festival showcases the very best in theatre, opera and ballet; the Canal Festival features classical music played on floating stages; the Amsterdam Fantastic Film Festival screens art house to mainstream masterpieces; and the theatre season is opened every year at ‘Uitmarkt’, with stages across the city. There are also several weekly events, including great Ajax football matches at the futuristic Amsterdam ArenA Stadium.

> Superb surroundings
Most people think of the Netherlands as the land of tulips and windmills. In just 15 minutes from the centre of Amsterdam you can experience this side of the Netherlands. The villages of Marken and Volendam are an open-air museum with an unrivalled display of authentic Dutch houses and windmills. In springtime, tour the spectacular bulb fields or take in the blossoming flowers at the world’s most photographed location: the Keukenhof.

> Colourful people
Amsterdam has always set itself apart from other European capitals. During the 17th century ‘Golden Age’ the city was a centre for trade and art. In the 60s it was Europe’s ‘magical centre’. People are what make Amsterdam the unique city it is. The city’s character is highly individual, spirited and young at heart. Its inhabitants are traditionally friendly, tolerant and cosmopolitan by nature: a mindset illustrated by the fact that most speak more than one language. With 174 different cultures, Amsterdam is amongst the most diverse in the world.

> Business with pleasure
Home to the world’s first multinational company, the Dutch East India Company, Amsterdam is also the new address for Google and AKZO Nobel headquarters. A consistent high score in the European Cities Monitor for companies may be a reason why several international companies have their head office in Amsterdam. Advertising and design firms prefer Amsterdam for its ability to attract creative people. Because of its compact size and excellent infrastructure, Amsterdam combines and does business on the level with other European capitals, but with the ambience of a small town. The city of Amsterdam is in the top ten of the world’s most preferred conference cities.

Venue: Amsterdam RAI Convention Centre

The history of Amsterdam RAI dates back to 1893, when the Bicycle Industry Association was set up. In 1900 the name of the association was lengthened to include an “A” for Automobile. Nowadays, with more than two million visitors yearly, Amsterdam RAI Convention Centre is one of Europe’s most important international exhibition-and conference venues. Each year, some 1.000 national and international conferences and cultural functions are held in the Congress Centre, which is flanked by the RAI’s three exhibition complexes. Amsterdam RAI Convention Centre is situated in one of Amsterdam’s green areas, only some three kilometres from the historic city centre and ten kilometres from Amsterdam International Airport Schiphol. This modern congress centre, the largest of its kind in the country, is professionally equipped, serviced and staffed to meet all the needs of successful international meetings. Amsterdam RAI is best measured in terms of the expertise of its management and staff, and the advanced and sophisticated amenities that enhance the programme and assure the comfort of the delegates.

Accessibility

Amsterdam has excellent accessibility by air, by rail and road

>By air
Amsterdam Airport Schiphol is one of the world’s most modern and efficient airports, which is why is designated ‘Best Airport in Europe’(and fourth best in the world) in the 2010 Business Traveller Awards. Scheduled services fly into Schiphol from at least 128 destinations within Europe and from 108 non- European destinations. Some 110 airlines fly from Amsterdam Airport Schiphol to more than 265 destinations worldwide. In 2010, Amsterdam Airport Schiphol served 45.2 million passengers. Schiphol trainstation is located directly below the airport and by train you arrive at Amsterdam Central Station within 15 minutes. Via Schiphol Plaza, you can walk straight to the departure or arrival hall. There are also 15 to 20 trains a day to destinations such as Brussels, Paris and Frankfurt.

> By train
The Dutch Railway company transports some one million travellers a day over the busiest railway network in the world. The NS Group comprises a number of operating companies which ensure the transportation of travellers and the development and exploitation of transport junctions. NS International operates the international transport of passengers by train. Thalys Nederland, ICE International, IC, Benelux and CiyNightLine transport passengers to various destinations including France, Germany and Belgium.

>By bus
Long-distance Euroline busses connect Amsterdam with most European cities. Within the country, buses are used for regional transport rather than for long distances. They do, however, fill the rail gaps in the north and east of the Netherlands. Bus stations are typically situated next to the main railway station in a town. In towns with no rail service they are usually located in the town centre.

> By boat
Most travellers go overland through Belgium and France to catch a boat to England, however ferries also run between the Hoek van Holland (Hook of Holland) and Harwich, UK; Europoort (near Rotterdam) and Hull, UK; IJmuiden (near Amsterdam) and Newcastle, UK; and Ijmuiden and Kristiansand, Norway.

> Local infrastructure
The compact size of Amsterdam means that almost everything is within walking distance of each other. Nevertheless the public transport network of buses, trams and metro is efficient, modern, reliable and inexpensive. The GVB is the public transport company of Amsterdam. One million passengers within greater Amsterdam travel by tram, bus, metro and ferry every day.

> Various
The city of Amsterdam has 750,000 inhabitants and 600,000 bicycles. It is rare to have a moment in the city when a bicycle does not zip by you. The Dutch use their bicycles as a means of transportation – to go shopping, commute to work and so on – rather than for recreational purposes. With beautiful scenery, flat landscapes and some 15,000 kilometres of specially designated bicycle paths and routes, cycling in the Netherlands is not only practical, but also very enjoyable.
